LIBRARY POLICIES

User’s Requirements

  1. Trinity University of Asia’s campus ID serves as library cards. It must be presented at the Control Desk upon entry to the library and should be validated during second and summer terms.

  2. Borrower’s Card − to bring out library materials, an officially enrolled TUA student may secure a Borrower’s Card at the Library by presenting his/her certificate of matriculation for the current semester.

  3. A Borrower’s Card is non-transferable and will be confiscated if used by anyone.

  4. An altered, torn, or mutilated Borrower’s Card will not be honored.

  5. In case of loss, the owner shall report it promptly to the librarian at the Reserve-Circulation Desk. The owner shall then secure an affidavit of loss and pay the corresponding fee.

General Loan Policies

  1. Library patrons must present their valid ID when borrowing materials. Borrowing must be done in person.

  2. The borrower is responsible for all materials charged to his/her name and must ensure that items are properly checked out to him/her and must be returned on or before the due date.

  3. Books and other library materials are considered on loan to the borrower until materials are properly checked in. Make sure that your loan has been cancelled before leaving the counter.

  4. Borrowers who lost a material shall be liable to replace the material with the current edition or issue.

  5. Any book damaged or not returned after notice has been sent to the borrower is to be replaced or paid. A fine is charged from the day the book is overdue.

  6. Any book on loan may be recalled if it is overdue or the library is conducting the annual inventory.

  7. Borrowers who find defects in library materials issued to them is requested to report the matter to the librarian before using them.

  8. No one should take out any library material without proper recording or checking out from the lending desk. Failure to do so may result in curtailment of library privileges for a certain period of time.

  9. All books are for room use only a week before the final examination.

Library Collection, Circulation, and Fines

  1. General reference books (encyclopedias, dictionaries, atlases, almanacs, etc.) are for room use only.

  2. One (1) reserve book may be borrowed for overnight use, but must be returned not later than 9:00 AM the next school day.  Overdue fine is Php 30.00/day, including Sundays and holidays.

  3. The Filipiniana books cannot be circulated however, duplicate copies may be borrowed overnight and must be returned not later than 9:00 AM the next school day.  Overdue fine is Php 35.00/day, including Sundays and holidays.

  4. Periodicals like magazines, journals, and newspapers’ contents can be photocopied but home use of said materials is not allowed.

  5. Special materials like pamphlets, clippings, vertical file, and Philippine documents are for room use only.

  6. Theses, dissertations and feasibility studies are for room use only. Photocopying, taking digital snap shots of these materials are strictly prohibited.

  7. Circulation books may be borrowed for one (1) week, renewable once. Overdue fine is Php 10.00 for the 1st day and Php 1.00 for each succeeding day, including Sundays and holidays.

  8. Graduate school books are for room use and photocopying purposes only (for undergraduate students).

Rules Regarding Access to and Use of Archival Collections

  1. Researchers with valid school ID shall register at the library entrance.

  2. Only pencil is allowed for taking notes. Fountain pen, ballpoint, or a tip pen can cause permanent damage even if done unintentionally.

  3. Researchers must request materials they anticipate for use in a given day. Use sheets or forms for recording patron requests.

  4. Archival materials are for room use only.

  5. Researchers must handle archival materials properly.

  6. Use gloves when handling albums or scrapbooks containing photographs, as well as unprotected drawings, artworks, and posters.

  7. Some collection items should not be photocopied because of their sensitive physical condition. These include extremely brittle sheets that cannot withstand physical handling, tightly bound volumes of brittle paper, material in rare books, oversized items that must be excessively manipulated to get a complete image, and scrapbook pages with material tipped-on so that sheets flap about and are susceptible to bending or cracking off.

General Rules and Regulations

  1. Library users must observe the proper TUA dress code and conduct in the library.

  2. Library users must register at the registration area of each section before entering.

  3. Library users must deposit their bags, briefcases, folders, umbrellas, large envelopes, and the like at the baggage counter but he/she should bring all his valuables e.g. cellphones, wallets, laptops, etc. The library will not be responsible for any loss of personal belongings. A baggage counter number will be given to them.

  4. Clients leaving the library should surrender the baggage counter number to claim their belongings. In case of loss baggage number, the client must pay Php 75.00.

  5. All users must always observe silence in the library and its environs.

  6. Eating, smoking, littering, sleeping, and transferring from one place to another are prohibited. Those caught vandalizing furniture and equipment shall be penalized.

  7. Cellular phones must be in silent or vibrating mode while inside the library. Answering/making calls should be done outside the library. Charging of mobile phones and other devices are not allowed.

  8. The library must not be used as classroom or as venue for meetings, trainings, and conferences.

  9. Unauthorized filming within the library premises is not allowed.

  10. Public display of affection is strictly prohibited inside the library.

  11. Disrespectful language or gesture against any library personnel will be dealt with accordingly.
